What services are included in a creative retainer package?

  • Digital strategy, research and planning
  • New or updated website content including text, images, testimonials, press mentions, embedded video/audio files
  • New products, courses and sales/landing pages
  • Lead capture forms
  • Email newsletter design and set-up
  • Automated email campaign set-up
  • Video editing
  • Social media graphics batching
  • Basically, anytime we have to do something other than answer an email!

What services are not included in a creative retainer agreement?

A creative retainer does not cover expenses like the cost of new plugins, stock photography licensing, copywriting, and subcontractor fees. We will consult with you before beginning work to identify any fees or costs that may be billed in addition to your creative retainer agreement.

Creative retainer packages do not include services covered by our TLC Security and Software Maintenance plans. They are mutually exclusive plans.

Here’s what our creative request process looks like:

  • You email us with a request or add a request directly to our Basecamp project management system
  • Your request will be sub-divided into to-do tasks and added to the Basecamp project
  • We ask for clarification and confirmation of priority via Basecamp
  • We notify you of an estimate of time, as well as when we can put it in our calendar

We allot specific days throughout each month just for creative retainer client projects. Creative retainer hours are allocated on a first come first served basis, and additional hours will be scheduled based upon availability

  • When approved, we put it on the calendar, and set deadlines in Basecamp for you, the client, to send any deliverables such as content and images. (We don’t start if we don’t have deliverables)
  • We get to work!
  • When complete, we invoice for any additional hours

Wait! It’s Urgent!

If you require tasks to be completed urgently, sooner than 7 days out, we will collaborate with you to work out availability in our schedule to help you get the task accomplished a.s.a.p. As stated above, hours are allocated on a first come first served basis, and allocation of tasks will be scheduled based upon availability. You will be billed an “urgent care”  hourly rate of $150/hour. (If you have not used your retainer hours for that month, we will deduct your “additional” hourly rate from the “urgent care” rate (eg. option 1: $150 – $80 = $60 for each hour of urgent work).

How is the work tracked?

All projects and their to-do tasks will be tracked in Basecamp. Work performed is itemized and will be viewable with your monthly invoice (via FreshBooks accounting software). Time will be tracked in 15 minute increments.

Leftovers? Overages?

You can roll unused hours into the following month. Unused hours are forfeited at the end of the second month.

Hours in excess of the monthly agreement are billed at your special retainer rate.

We do our best to make sure you stay up-to-date on the status of your retainer hours, but ultimately it’s your responsibility to make sure they’re used within the monthly time frame. Work performed is itemized and will be viewable with your monthly invoice (via FreshBooks accounting software).

What about payments?

You will be invoiced for upcoming month’s retainer package on a specific day of the month as chosen by you! You will be asked to add your credit card for automatic retainer payment for all future months.

Additional hours or project fees will be invoiced separately from the monthly retainer package on the first of the month.

  • 8 hours per month
  • Additional hours $70/hour
  • Urgent care (for work due in less than 7 days) $150/hour
  • $560/month
